A download is the beginning.
A company is looking for a better way to approve invoices. Someone responsible for the workflow finds a checklist on your website, submits their contact details and downloads it. A few days later, they ask whether a solution could work with their existing IT systems.
Your team would usually need to find the contact, match the earlier request and read through the new message. In this example, the information comes together in one record. A download alone does not trigger sales outreach.
How the steps work together.
The download and the later enquiry serve different purposes. The website delivers the resource; the CRM keeps the record together. The AI agent contributes when the specific enquiry needs to be understood.
Website
Deliver the right resource.
The checklist becomes available after submission. Its topic and the contact details are stored for the download request.
CRM
Match the later enquiry.
When the same person asks a specific question, established rules identify the existing record. Ambiguous matches are not merged automatically.
AI agent
Identify needs and open questions.
The agent reads the new enquiry, considers its relevant topic history and prepares a short summary with follow-up questions.
Team
Review and start the conversation.
The responsible person receives the prepared record, checks the details and decides on the response and next step.
What the team finds in the CRM.
A message becomes a preparation brief that the team can verify. The original enquiry remains visible alongside the summary so the agent’s interpretation can be checked.
Prepared by the agent
- Topic
- Invoice checking and approval
- Existing context
- Invoice approval checklist requested
- Stated need
- Identify discrepancies and match orders
- Still to clarify
- Which ERP is in use? How are orders and goods receipts recorded?
Suggested follow-up question
“To understand the workflow: which ERP do you use, and where are the corresponding orders and goods receipts available?”
Draft · Team approval requiredWhat the agent prepares — and your team decides.
The agent identifies the topic, summarises the need and suggests a useful follow-up question. It may only use information approved for this workflow. Missing details remain explicitly unresolved.
Your team reviews the draft and discusses technical prerequisites with the prospect. Issuing a quote, promising feasibility or automatically contacting the prospect is outside this example’s approval scope. Ambiguous contact matches and conflicting information go to manual review.
How to assess the value.
The aim is a better prepared conversation: less searching through individual messages, a visible topic history and focused questions instead of starting from scratch with each enquiry.
Whether the workflow helps needs to be assessed using real comparative cases. How long does preparation take? Are the matching and summary correct? Which questions are missing? How often does the team need to make corrections? Those observations provide a basis for assessing value.
